This is our proposed founding-listing photo scope. Reading this page or sending a file does not create a licence. We agree a specific written record with the copyright owner or an authorised representative before publication.

What we need to identify

• The hotel, exact room category and official room or booking URL.
• Each original image, photographer/copyright owner, required credit and the contact’s authority to grant the permission.
• The room or rooms pictured, the shooting position, and capture date if known.
• Whether the outlook is guaranteed for that category, requested only, or varies by room, floor, season or orientation.

A public image URL is not permission. A hotel may need its photographer’s approval if its existing image licence does not allow this use. Photos with guests or other third-party material need the relevant permissions too.

The proposed website licence

Scope

Non-exclusive, worldwide and no-fee. Hosting, display and reproduction of the named images solely in the agreed Windowroam hotel/room-category listing and its ordinary listing preview on windowroam.com.

Duration

12 months from a recorded, agreed start date. Any renewal is confirmed in writing.

Ownership

Copyright stays with its owner. No stock resale or transfer of image rights to booking partners. Hosting providers may make only the technical copies needed to operate the website.

Presentation

Technical resizing and cropping for the listing, with agreed credit and a link to the hotel’s current category page. No materially different crop, caption, category mapping or channel without approval.

Social and advertising

Excluded. Organic social needs a separate optional scope identifying accounts, assets and duration. Paid advertising needs its own separately agreed permission. Neither is required for a website listing.

Economics

No licence fee, exclusivity, minimum audience or booking outcome is promised. Any affiliate agreement and disclosure are separate.

You can end permission

Either party may end the licence in writing, effective immediately. On notice or expiry, we promptly hide the image from public pages. Within five business days we remove active working copies and ask hosting providers to purge caches where we can control them. Protected backups may remain until their documented deletion date and must not be restored to public use. We confirm takedown to the named contact.

Before anything goes live

We check the rights evidence, photograph-to-room mapping, view qualifications and current booking path. We record the exact assets, credit, authority, start and expiry dates, and written acceptance. Submitting a photograph alone is not acceptance of these terms or a guarantee of publication.
